DayHerder Privacy Policy

Drover Systems LLC (“DayHerder,” “we,” “us,” or “our”) provides the DayHerder ranch operations platform, including our mobile application, web application, and marketing website (together, the “Service”). This Privacy Policy explains how we handle information connected with the Service.
1. Information We Handle
Website, signup, and support inquiries
When you use our website, request information, start signup, or contact us, we may handle your name, email address, operation or company name, role, selected plan, and the information you include in your message.
We use Stripe for subscription checkout and billing. Stripe collects and processes payment information through its hosted checkout experience. We receive billing and account information needed to set up and manage your subscription, but do not store payment-card details.
Account information
Your ranch operation's administrator may create and manage your account. We handle information such as your name, email address, user identifier, role or permissions, account status, authentication credentials, and selected preferences.
Operational records and content
We handle the information needed to provide the Service, including livestock, pasture, group, task, note, treatment, alert, and sale records. We also handle photographs and other content that Users choose to attach to those records.
Operational records and free-form content may contain personal information, such as the identity of a staff member who performed an action or information a User includes in a note or photograph.
Device location
If you grant permission, the mobile application may access your device's current location to provide location-enabled map features. The application does not request background location access. Location information that you choose to include in an operational record, such as a pasture boundary or a location-tagged record, may be stored as part of that record.
Photos, notifications, and connected devices
- Photographs you capture or select for attachment to Service records.
- A push-notification token associated with your account and device, so we can deliver alerts and reminders.
- Information needed to connect compatible Bluetooth livestock-management devices and record the animal identification or weight data you choose to import.
Offline device storage
To support offline use, the mobile application and web application may keep a local copy of relevant Service data and pending changes on your device or browser. Local data remains subject to your device, browser, and application storage controls.
2. How We Use Information
- Provide, operate, support, and improve the Service.
- Respond to website, signup, and support inquiries.
- Set up and manage subscriptions and billing.
- Authenticate Users and apply operation-level permissions.
- Synchronize records between authorized devices and the Service.
- Deliver requested alerts and notifications.
- Protect the security and integrity of the Service and prevent misuse.
- Comply with applicable legal obligations and maintain required operational records.
- Respond to support requests and privacy requests.
3. How We Share Information
We share information only as needed to provide the Service or as otherwise described below:
- Within your operation. Authorized Users in the same ranch operation may access information according to the permissions assigned by that operation.
- Service providers. We use providers that help us host and operate the Service, store photographs and archived records, deliver notifications, support map and place-search features, process website forms, and provide related infrastructure. We use Stripe to process subscription checkout and billing. These providers may process relevant information only to provide services on our behalf.
- Legal, safety, and business-transfer purposes. We may disclose information when required by law or legal process, to protect rights, safety, or security, or as part of a merger, acquisition, financing, or sale of assets.
We do not sell personal information or use it for targeted advertising.
4. Retention and Deletion
We retain account information and operational records for as long as needed to provide the Service, meet our contractual and operational obligations, resolve disputes, and comply with applicable law.
Retention periods vary by record type. Some livestock, operational, and audit records may need to be retained longer than account information. We archive or delete records when they are no longer needed, subject to legal, regulatory, and operational retention requirements.
You can initiate deletion of your DayHerder account from the mobile application's account settings. The app verifies your current password and requires an internet connection before it submits the request. This removes your active sign-in and current account identity. Account deletion does not delete the ranch operation or shared operational records that other authorized Users rely on.
If you are the sole User who can manage Users or the operation's billing, your request may remain pending while the operation is transferred or offboarded and billing is resolved. We target completion of pending requests within 30 days and send a confirmation when deletion is complete. Deleting an account does not by itself cancel an operation subscription. Use the Manage Billing feature to cancel billing when available.
Shared ranch records, audit history, archived records, provider records, and information we must retain for legal, security, dispute-resolution, or operational reasons may remain after account deletion. We minimize or remove current account identity where applicable. Information already shared with the ranch operation may continue to be attributed to the operation or retained as required. Pending changes or photographs stored only on a device may be lost, and other signed-in devices may retain local copies until they reconnect and complete cleanup.
To request access to or correction of personal information, ask a question, or report a deletion issue, contact us at privacy@dayherder.com. We may need to verify your identity. We may retain information where required or permitted by law, or where it is necessary to protect the Service or the rights of others.
5. Your Choices
- Grant, decline, or revoke device permissions, such as location, camera, photo-library, Bluetooth, and notification permissions, through your device settings.
- Control notifications through your device settings and, where available, within the Service.
- Contact us to ask questions or make a privacy request.
Some features may not work without the relevant permission.
6. Security
We use reasonable administrative, technical, and organizational safeguards designed to protect information. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
7. Children
The Service is designed for ranch operations and is not directed to children. We do not knowingly collect personal information from children.
8. Changes to This Policy
We may update this Privacy Policy from time to time. If we make material changes, we will provide notice as required by applicable law. The effective date at the top of this policy identifies the most recent version.
